What’s New In ClearView Social: Group Permissions

 

What’s New In ClearView Social is our blog series that brings you updates on what new features we’ve rolled out in the software recently. We’ve been hard at work getting ready to release some big new features, and we want to give you the scoop on a new feature that will give admins better control over how Groups use ClearView Social.  We’re rolling out new Group Permissions—read on to learn more!

How Permissions Currently Work

When someone is added to the software, they can become either a “User” or an “Admin”.  Currently, users have no rights to administer the software, and admins have the rights to administer every part of it—all or nothing.  For many teams this setup is sufficient, but for larger teams some additional restrictions are needed.  With our Group Permissions we have you covered!

 

New Permissions for Queues

Currently, the default setting in ClearView Social is that all new Queues created are set to send to everyone on your team.  When building a Queue, you must select Groups to limit the number of Users that receive a Queue.

With our new Group Permissions, a new Queue that is created by default will send to no one.  If you have permissions, you can build up a list of recipients to receive that Queue.  You may choose everyone, or you can select specific Groups.

One benefit of this addition is that admins no longer need to worry about accidentally sending a Queue to everyone.  An added bonus to this approach is that now admins can send Queues to everyone on their team and to the Company Page!

Managing Users and Groups

With the new Group Permissions, any admin will be able to manage Users.  However, admins are not able to add a User to any Group that they wish.  An admin must be granted permission to add Users to specific Groups.  This means that you can have both Administrators and Power Administrators for your team—an elite crew responsible for managing ClearView Social!

When a new Group is created, the Permissions available to that Group will be displayed in the Group Manager:

These permissions cover the following admin abilities:

  • Creating New Queues – If you want to segment admins into those that manage Queues and those that manage other features of the software.
  • Approving Queues for sending – If you want a specific Group to proofread or make final edits to a Queue before sending.
  • Edit Contents for Queues – If you wish to limit the number of Users that can add content to a Queue before approval.
  • Sending Queues to the Company Page – Usually for Power Administrators, this permission will allow posting content to the Company’s LinkedIn, Twitter, or Facebook accounts.
  • Sending Queues to Everyone – With great power, comes great responsibility.  Only enable this if you intend to email everyone on your team!
  • Sending Queues to specific Groups – For larger teams that may have regional offices, this prevents one office from being able to accidentally email Queues to another office!
  • Managing Company Pages – Also a feature for Power Admins, usually those also responsible for managing the Company’s LinkedIn, Twitter, or Facebook accounts.
  • Managing Groups – This will grant admins the ability to set Group Permissions.  This is the highest tier of responsibility, meant for your Power Administrators!
  • Adding Users to specific Groups – Also a feature for larger teams with regional offices, this prevents Users from accidentally being added to Groups to which they should not belong.

 

This is a lot to remember!  How do I get started?

Our addition of Group Permissions changes the way our software allows admins to work, and we want to give people some time to get used to these changes!  When we first release this new feature, access to all current admin functionality will still be granted to all admins.  We want to give you time to change permissions for your users as you see fit.

If you don’t want to make any changes, that is not a problem!  We have also created a default Power Administrators group that contains all of the admins for your team, assigned all permissions available in our software.
